Printer Troubleshooting Guide (Windows Users)

Follow these steps to identify and resolve common printer issues.

Step 1: Check the Basics

  • Make sure the printer is powered on.
  • Confirm there is paper loaded in the tray.
  • Check ink or toner levels and replace if needed.
  • Ensure all printer doors and trays are fully closed.

Step 2: Check for Error Messages

Error messages often explain exactly what's wrong.

  • Look at the printer's display screen.
  • Check your computer for messages like: Paper Jam, Low Ink, Offline, or Paused.

Step 3: View the Printer Queue

  1. On your computer, open: Devices and Printers → Open print queue.
  2. Look for status messages like Error, Paused, or Offline.
  3. If paused, uncheck "Pause Printing" in the Printer menu.

Step 4: Restart the Printer

  1. Turn the printer off.
  2. Wait 10 seconds.
  3. Turn the printer back on and try printing again.

USB Printer: Ensure the cable is securely plugged into both devices.
